STUDY ORGANIZATION IS BASED ON THE ADULT EDUCATION ACT AND THE ARTICLES OF ASSOCIATION OF KEELEVÄRAV OÜ.
CONDITIONS AND PROCEDURES FOR ADMISSION TO AND EXCLUSION FROM CONTINUING EDUCATION
- Registration for training can be done on the website www.keelevarav.ee, by phone (50 91006), by e-mail keelevarav@keelevarav.ee or at the study premises at Sõpruse pst 2, Tartu. Expressions of interest and letters received via the website will be answered within 24 hours.
- To register for training, the Learner’s goals and needs are identified, and their language skills are tested orally and in writing. Factors supporting and hindering learning are clarified. There is also an initial introduction to the study process and conditions, curriculum, and study tools by the trainer or manager.
- Completion of the training group is based on the order of registration and the Learner’s language proficiency level or lack thereof, as well as according to the learner’s goals and needs. A group will be opened if there are at least 5 learners in the group. If the training group is not filled, Keelevärav has the right to cancel the training or postpone it to the next month until the training group is full.
- A training contract is concluded with the learner digitally or on paper (at the study premises at Sõpruse pst 2, Tartu).
- Learners who have paid the tuition fee or its first installment, received a confirmation letter of payment from their institution, or participate in the training with an Estonian Unemployment Insurance Fund training card can start studying.
- In case of withdrawal 5 days before the start of the training, 90% of the tuition fee will be refunded. If withdrawn on the start day of the training, 50% of the tuition fee will be refunded. In case of withdrawal, the Learner writes an application for withdrawal from the training, stating the reason for withdrawal.
- If the training is interrupted for a valid reason (health reasons, moving), the manager of Keelevärav OÜ and the Learner agree on the procedure for termination of the training contract. If the learner withdraws from the training for these reasons, 90% of the advance payment will be refunded.
- If the learner withdraws from the training and interrupts halfway, a certificate is issued stating the volume and topics the learner completed during the training.
- The learner will be excluded from the training if the installment remains unpaid for more than 30 days, and if the learner violates the rules in force at Keelevärav Language School and damages the reputation of Keelevärav OÜ. Each such case will be dealt with separately as it arises.
- The learner has completed the training if they have participated in at least 75% of the contact hours and passed the final test with at least 60% (max 100). The test is prepared according to the Common European Framework of Reference for Languages and according to the learning outcomes of the curriculum. Upon successful completion of the final test, the learner receives a Keelevärav OÜ certificate or a statement if the performance is below 60%.
- At the end of the training, the learner fills out a feedback questionnaire about the completed training.
CONDITIONS FOR ORGANIZING CONTINUING EDUCATION AT KEELEVÄRAV OÜ
- Training sessions take place in premises suitable for study located at Sõpruse pst 2. In-house training is conducted in the relevant premises of the client.
- For online training, the Zoom environment is used, which is free for the learner.
- The study process takes place year-round (except July) based on the training calendar.
- The volume of training is calculated in academic hours. The length of one academic hour is 45 minutes.
- Training sessions take place as group or individual studies.
- Studies are conducted in Estonian, Russian, English, or German; the administrative languages are Estonian or Russian.
- We organize training in the following curriculum group: language learning.
- House rules apply in the training rooms:
- the learner behaves considerately and respectfully toward fellow learners and the trainer. In case of disruptive behavior, the trainer has the right to remove the learner from the lesson or course;
- learners are not allowed to film fellow learners/trainers or make audio recordings in the training room. Photography is allowed if all participants agree;
- training starts at the appointed time according to the training schedule. If the learner is absent due to illness or other reasons, the school is not responsible for teaching the topics covered. In this case, the Learner must acquire the material independently or ask the trainer for consultation time;
- In the case of private lessons, the trainer must be notified of absence 3 hours before the start of the lesson at keelevarav@keelevarav.ee or by SMS at 5091006.
- Continuing education includes contact learning, independent, and practical work. The total volume of the course is determined separately in the curriculum. Activating and interactive methods are used as teaching methods. Most of the study work consists of practice and practical work both in study rooms and in a real language environment and online. Mid-tests are conducted during the studies.
- The learner has the right to:
- receive information about the study organization and curriculum;
- receive training in the prescribed volume, place, and time after payment of the tuition fee;
- demand a refund of the tuition fee for cancelled training;
- interrupt the training, in which case the tuition fee is not refunded;
- receive a certificate after successful completion of the training (final test result more than 60%);
- receive a statement if the final test result is below 60%.
- The learner is obliged to:
- take good care of the school’s study tools;
- pay the tuition fee on time and according to the amount on the invoice, stating the invoice number on the payment order;
- behave according to generally accepted ethical and moral standards;
- act in an emergency according to safety requirements and the trainer’s instructions;
- take an active part in the study process and do homework.
- An individual attendance record in academic hours is kept for each learner. In each lesson, the trainer fills in the respective attendance schedule.
- Certificates and statements issued are generally digital and numbered. The school operator keeps track of them in a separate register of certificates. Certificates and statements comply with the continuing education standard.
- Digital certificates and statements are stored for 5 years.
- Disputes related to study organization are resolved primarily through negotiations. If differences cannot be resolved through negotiations, the dispute is settled in Tartu County Court.
CONDITIONS AND PROCEDURES FOR PAYMENT, EXEMPTION FROM, AND REFUND OF TUITION FEES FOR CONTINUING EDUCATION
- The amount of the training fee is established by the school operator at least 30 days before the start of the training and published on the website. The price of the training includes classroom or e-learning training and a certificate.
- Payment for the training is made based on invoices. Invoices are prepared by Keelevärav OÜ and issued by e-mail.
- The tuition fee is not increased during the training.
- The language school operator may offer a discount of up to 5% to training participants. The discount is intended for learners studying in two language courses simultaneously, as well as for family members from the same household studying at the same time.
- The basis for exemption from tuition fees is the price list and discounts of the continuing education Language School operator, and a corresponding decision is made individually for each case.
- For longer-term training (from 60 academic hours), it is possible to pay in installments. The number of payments depends on the length of the training and the terms of the training contract. The first installment must be paid before the start of the training and the last before the end date of the training. When paying in installments, up to 9% is added to the total cost of the training according to the number of installments. By signing the training contract, the learner takes responsibility for paying the tuition for the entire course; payment terms are specified in the training contract. In case of late payment, the learner undertakes to pay 0.05% of the installment for each day of delay. During the training, it is possible to change payment terms if the learner wishes to pay the remaining amount at once.
- In addition to the tuition fee, the learner must account for the cost of study tools. The approximate price of textbooks is 25-55 euros. Textbooks are purchased from the publisher, and the Learner has the opportunity to buy study materials on-site before the start of the training.
- In case of cancellation of the training, the tuition fee will be refunded in full to the client within 3 working days after notification of the non-occurrence of the training.
- If the learner withdraws from the training more than 7 days before the start of the training, 90% of the tuition fee will be refunded. If withdrawn 6-1 days before the start of the training, 75% of the tuition fee advance payment will be refunded. If withdrawn on the start day of the training, 50% of the tuition fee advance payment will be refunded. The learner must inform the school operator of their withdrawal as soon as possible by e-mail with a corresponding application to keelevarav@keelevarav.ee
- If the learner interrupts the training during the study period for a valid reason (serious health condition, moving), the manager of Keelevärav OÜ and the learner agree on the procedure for termination of the training contract. If the learner withdraws from the training for these reasons, 50% of the tuition fee advance payment will be refunded. A corresponding written application is submitted to the school operator at keelevarav@keelevarav.ee
- If the entire tuition fee has not been paid by the end date of the training, Keelevärav OÜ has the right not to issue a certificate or statement to the learner.
PERSONAL DATA PROCESSING
The manager, as the direct executor of the work, is responsible for the processing of personal data. Keelevärav OÜ collects the following data from learners: name, contact details, personal identification code. We need the personal identification code to issue the certificate. Personal data is handled according to the Personal Data Protection Act.
